Procedure to follow when inviting Guest Speakers
The church operates according to policies to ensure that there is order and system in everything we do. We would like to draw you attention to the matter of placing Service Requests.
When your church would like to invite a special speaker for any period of time to come and present the word of God in whatever format, please plan a minimum of four months ahead of time. This plan must be approved by a church board meeting and minuted. The minute must indicate the following:
1. The name of the person/s
2. Which Conference/Organization he/she comes from
3. The purpose for their coming
4. The amount of time they will serve your congregation
5. Who will pay for the expenses which include: travel, accommodation and meals, and possibly an additional fee required by the speaker.
This request must be emailed to the Conference Secretariat 4 months before the time. The time if required because these requests must proceed the the local Conference Administrative committee, then proceed to the SAU Administrative Committee, and if it is an international speaker proceed to the Southern Africa Indian Ocean Division, and cascade down the very organisational levels for approval. If it is a speaker or presenter in the local Southern Africa Union it proceeds to the relevant conference. Eventually a response is received by the Conference who sent and approved the request from the Local Congregation.
Please do not make financial commitments or arrangements until your request has been approved. We would like to encourage all local congregations and Regions to plan a year in advance.
The four month time frame does not apply to requests for Speakers within the Conference. There is a form to fill in for local Speakers or pastors within the Conference that may live a significant distance from the congregation who is inviting him or her.
